Order Brief

Dietary Supplement Contract Manufacturers Requirement Checklist

Prepare one concise source record for product specification, order scope, document questions and approvals. The brief should make supplier alternatives visible without treating an unconfirmed formula, label, schedule or certificate as a fact.

Pre-quote checklist

Four steps from concept to comparable inquiry

  1. Define

Name the dosage form and business channel, then describe the intended product configuration without making a diagnosis, treatment, prevention or guaranteed health statement. Identify each capsule, gummy, powder, liquid or other variant that needs a separate supplier answer. Note any acceptable alternative, and name the person responsible for approving a change.

  2. Specify

State serving size, ingredient and strength targets, flavor or coating where relevant, container type, count, label responsibility and case configuration. List the manufacturing, batch, testing, label or market documents you want the candidate to describe for the exact proposed product. Unknown fields should say “supplier to confirm.”

  3. Quantify

Enter quantity for every variant with an unambiguous unit such as bottles, jars, capsules, gummies or pouches. Add the US destination, target schedule and optional budget with currency plus per-unit or whole-order basis. Keep sample quantities separate from a larger production inquiry.

  4. Document

Assign version identifiers to the requirement, quotation, formula response, sample and evidence files. Record exclusions, unanswered questions and the owner of each decision. A revised offer should identify what changed so the buyer can compare it with the earlier response rather than relying on memory.

Quotation evidence and decision record

Move answers through four evidence states

  1. Record inputs

Preserve the buyer’s original requirements, including formula targets, permitted substitutions, packaging, quantities, destination, timing, budget basis and requested records. Do not replace missing information with a category average.

  2. Check references

Use public product-family or government material only to sharpen questions. Mark its source and limits. It does not prove our inventory, a candidate’s capability, the status of a quoted product or the acceptability of a claim.

  3. Request confirmation

Ask the candidate to identify the proposed product and answer each specification, commercial and document field in writing. Keep blank answers open. If another configuration is offered, compare it on a separate line with its changed attributes and price scope.

  4. Approve

The buyer records acceptance of the specification, samples, evidence, terms and supplier. Qualified regulatory, legal or clinical specialists handle decisions within their expertise. Sourcing coordination supports that process but does not replace it.
